Moving an acquired shop from FieldEdge to ServiceTitan
Abe Harbid, 26 October 2026
ServiceTitan’s guide for FieldEdge shops asks for five spreadsheets: customers, dispatching, invoices, quotes and equipment. It warns that invoices export only the previous six months unless the filters are set to "All" [1]. FieldEdge describes itself as a tool for multi-truck contractors with service agreement tracking and a QuickBooks sync [2][3]. None of those pages says how an agreement list gets out of FieldEdge, so a platform buying a FieldEdge shop has the invoice window and the agreements to deal with first.
The five reports
ServiceTitan’s page lists the files and what each is for [1]:
| File | What ServiceTitan says it holds | Where it comes from in FieldEdge |
|---|---|---|
| CustomerList.xlsx | Customer names and contact information | Customers tab, Export |
| DispatchList.xlsx | The customer for each dispatch, the work order number, completion status | Dispatching tab, Export |
| InvoiceList.xlsx | The customer billed, the invoice total, the technician on the job | Invoices tab, Export |
| QuoteList.xlsx | The customer a quote was given to, its status and amount | Quotes tab, Export |
| EquipmentList.xlsx | The customer who owns the equipment, manufacturer, model, serial number | Reports, Customer Reports, Equipment List |
The page also says each file’s columns must appear in a specific order and gives the order. If a report fails, it suggests running it in one-year batches and then contacting the software provider [1].
The six month invoice trap
This is the first thing to check. ServiceTitan’s page says that before exporting invoices, all filters at the top must be set to "All." Otherwise FieldEdge exports only the previous six months of invoices [1]. A manager who clicks Export on the default screen produces a file that looks complete and holds half a year. The customers’ purchase history in the platform then starts mid-stream, and any membership or equipment visit count based on invoices is short. The page does not say what else, if anything, each report leaves out [1], so a row count against the shop’s own totals is the only check.
What the FieldEdge files hold that others do not
The column order ServiceTitan gives for FieldEdge shows how the data is organised [1]. The dispatch file carries a work order number, a task with duration, a status, a promised appointment, an arrival and complete time, a lead source and the technician. The invoice file carries the original quote work order number, an invoice number, due date, amount due, technician, sales person, lead source, customer type and customer since. The quote file carries a "resulting WO" column. The equipment file carries install, parts warranty, labor warranty and replace dates.
Two points follow. Quotes link to work orders, and work orders link to invoices, through those number columns, so the three files have to be matched on them before any history makes sense. And the technician appears under "Tech" in one file and "Technician" and "Sales Person" in another, so the names need one roster before they are useful.
What FieldEdge says about itself
FieldEdge calls its product an all-in-one field management solution for small and mid-market contractors with multiple trucks, and lists HVAC, plumbing and electrical [2]. Its pages describe service agreement tracking, billing and renewal reminders, and performance dashboards for owners [2][3]. Its QuickBooks pages say field and office transactions sync to QuickBooks and that corrections made in one place update everywhere [3][4].
That matters for a platform in one practical way. If the shop’s books are in QuickBooks, ServiceTitan’s onboarding page describes a QuickBooks import as a way to pull customer, invoice and sales reports, and says it imports from one source, the one with the most accurate customer, invoice and job data [5]. For a FieldEdge shop whose invoices sync to QuickBooks, which of the two is the better source is a real decision, and ServiceTitan’s Implementation Manager helps make it [5].
Service agreements
FieldEdge’s pages describe agreements as something the shop tracks and bills, with renewal reminders [2]. They do not describe an export of the agreement list. ServiceTitan’s FieldEdge guide names no agreement file [1]. ServiceTitan’s page on bulk memberships says memberships are added by emailing support a list of customer IDs and the memberships for each, and that every detail must be accurate or the update may fail [6]. Its onboarding guide treats commercial service contracts as a separate question from residential memberships [5], and its service agreements page says the feature needs ServiceTitan’s team to enable it [7]. The plan for a FieldEdge shop is therefore to get its agreement list as a report or a screen print, and put it into the shape ServiceTitan’s support wants.
Checklist
- Export all five files. Set every filter to "All" on invoices before clicking Export.
- Count the invoice rows and the earliest invoice date, and compare them with the shop’s own records.
- Ask for the agreement list: customer, agreement type, start date, renewal date, billing frequency, visits owed.
- Match quotes to work orders and work orders to invoices on the number columns.
- Build one technician and sales person roster across the dispatch and invoice files.
- Find the same customer entered twice with different spellings or addresses.
- Agree with the platform’s team whether QuickBooks or FieldEdge is the source of record.
What our engine does with FieldEdge files
The engine reads whatever exports the shop produces and maps their columns to the platform’s standard layout. It flags the earliest invoice date so a short export is visible, matches the number columns across the files, lists technicians and sales people that do not match the roster, flags likely duplicate customers, and lists agreement rows with no renewal date. It keeps the mapping for that file layout, so the next shop with the same layout starts from it. It writes an import file and an error report. The platform’s team or ServiceTitan’s onboarding loads the file.
Questions
Why does the FieldEdge invoice export stop at six months?
ServiceTitan’s page says it happens when the filters at the top are not set to "All" [1].
Which FieldEdge reports does ServiceTitan want?
Customers, dispatching, invoices, quotes and equipment [1].
Can FieldEdge service agreements be exported?
FieldEdge’s pages that we read do not say [2]. Ask the shop or FieldEdge support.
Should the import come from FieldEdge or QuickBooks?
ServiceTitan imports from one source, the one with the most accurate customer, invoice and job data, chosen with the Implementation Manager [5].
Do you connect to FieldEdge?
No. The engine works from exported files and depends on no vendor API.
A diagnostic on one shop’s exports shows what a file like this needs. See also the Housecall Pro page and the home services overview.
