Moving an acquired shop from Housecall Pro to ServiceTitan

Abe Harbid, 26 October 2026

ServiceTitan publishes a short guide for customers coming from Housecall Pro: export a customers report, a jobs report and, optionally, an estimates report, then import them during onboarding [1]. Housecall Pro’s own pages describe a different export path and a recurring service plan feature that neither ServiceTitan’s guide nor Housecall Pro’s export breakdown mentions [2][3][4]. A platform buying a Housecall Pro shop should plan for those gaps before the cutover, and the file it hands to ServiceTitan should be cleaned first.

What ServiceTitan expects from a Housecall Pro shop

ServiceTitan’s "Export your Housecall Pro data" page names three files [1]:

  • customers.xlsx, with customer names, contact information and notes.
  • jobs.xlsx, with invoice numbers, customers, line items and related job details.
  • estimates.xlsx, marked optional.

It says the columns in each file must appear in a specific order, and that a failed import should be checked for column order first. It gives the customer file as 24 columns, the jobs file as 47 and the estimates file as 22. Customers with more than one address produce extra address column sets in the customers report. If a report returns an error, the page suggests running it in one-year batches [1].

The jobs and estimates steps ask for a date range from the day the shop started using Housecall Pro to today, with every table column selected. The estimates steps include changing a column heading so it reads Invoice, which the page marks as important [1]. A manager who skips that step produces a file that will fail, and nobody will know why until the import team returns it.

What Housecall Pro’s own pages say about exporting

Housecall Pro’s help article on importing and exporting says only employees listed as Admins can export the Customers and Jobs lists. The export is sent by email as a CSV from a Housecall Pro notification address, and a missing email should be looked for in spam after an hour [2]. ServiceTitan’s page describes opening the Customers tab and downloading an xlsx file [1]. The two pages describe different menu paths and file types, which is a reminder to check what the shop’s account shows today rather than follow either page word for word.

Housecall Pro’s exported report breakdown lists what a jobs or invoice report contains: invoice number, scheduled times and durations, customer name and contact details, service address, line items, labor and materials totals, payment history, card fees, balance due, discount, tax, assigned employees, job status and tags. It also states limits: attachments appear only as a count, discounts appear in dollars even if entered as a percentage, tips appear only for credit card payments, and durations depend on technicians pressing the status buttons [3].

Housecall Pro says its MAX plan customers can work with a Data Import team to import customers, job history, equipment and price book data. That is the direction into Housecall Pro, not out of it [2].

The gaps between the two sets of pages

Recurring service plans

Housecall Pro has service plans (also called maintenance plans or memberships) with a name, up to 12 included visits a year, an ongoing or fixed duration, and a payment frequency of monthly, quarterly, every six months or yearly [4]. ServiceTitan’s Housecall Pro guide lists no service plan file [1]. Housecall Pro’s exported report breakdown does not mention service plans [3], and the service plans FAQ does not say whether plans can be exported [5]. ServiceTitan’s page on bulk memberships says memberships are added by emailing support a list of customer IDs and the memberships for each [6]. So a Housecall Pro shop’s plan list probably has to be built by hand from Housecall Pro’s plan screens. We cannot state more than that, because neither company’s pages say.

Equipment

ServiceTitan’s import templates include an equipment file with a location, status, name and install date [7]. ServiceTitan’s Housecall Pro guide names no equipment file [1], and Housecall Pro’s export breakdown lists none [3]. If the shop kept equipment records, where they can be pulled from is a question for Housecall Pro support.

Merged and parent customers

Housecall Pro’s service plans FAQ says a customer who has ever had a service plan cannot be merged with another customer, even after the plan is deleted [5]. A platform that wants to combine duplicate households before import cannot always do it inside Housecall Pro. Duplicates have to be resolved in the file instead.

Job history and the one source rule

ServiceTitan’s onboarding page says it imports from one software source, the one with the most accurate customer, invoice and job data [8]. For a Housecall Pro shop that also keeps books in an accounting tool, someone has to pick one and live with its gaps.

Checklist for the platform

  1. Confirm who at the shop has an Admin login, since only Admins can export [2].
  2. Export customers, jobs and estimates with the full date range and every column. Rerun in one-year batches if a report errors [1].
  3. Ask the shop for a manual list of active service plans: customer, plan, start date, visits used, payment frequency, next renewal.
  4. Ask for any equipment records the shop keeps, even in a spreadsheet.
  5. List customers with more than one address, and decide which address becomes the billing address and which become service locations.
  6. Compare the technician names in the jobs file against the platform’s roster.
  7. Check open balances and unfinished jobs against the shop’s own list on the cutover date.

What our engine does with these files

The engine reads the shop’s exported customer, job and estimate files and maps them to the platform’s standard layout. It flags customers that look duplicated, rows missing a field the platform needs, technicians that do not match the roster, and service plan rows with no renewal date. It keeps the mapping for the Housecall Pro layout, so the next shop on the same layout starts from it. The output is an import file and an error report for the platform’s team or ServiceTitan’s onboarding to use. We do not do the import.

Questions

Which Housecall Pro reports does ServiceTitan ask for?

Customers, jobs and, optionally, estimates, each in a set column order [1].

Can Housecall Pro service plans be exported?

Housecall Pro’s service plans FAQ does not say [5]. Ask Housecall Pro support, or plan on listing the plans by hand.

Who can export from Housecall Pro?

Housecall Pro’s help article says only employees listed as Admins can export the Customers and Jobs lists [2].

Does the engine pull data from Housecall Pro directly?

No. It works from the files the shop exports and does not depend on any vendor API.

Why do the import columns have to stay in order?

ServiceTitan’s page says the import depends on a fixed column order and tells you to check it first when an import fails [1].
