QQCatalyst data after an acquisition: fixed reports and split commissions
Abe Harbid, 26 October 2026
Vertafore lists QQCatalyst as its management system for "complex small agencies" [1] and markets it to growing independent agencies [2]. Its Standard Library reports cannot be modified and export to PDF or to a CSV spreadsheet [3][4], so an acquirer usually receives a set of fixed-layout CSV files, one per report. The mapping job is to join those files.
What is distinctive about QQCatalyst data
Vertafore’s product page promises "full control over policy and client data" with policy and client information kept in one place, and cites 50 or more pre-built and customizable reports, from top clients to monthly production [2]. Vertafore’s wording points at smaller shops, so expect fewer staff and offices than on an enterprise system, though the page gives no numbers.
The distinctive part for an acquirer is the fixed report library. The help page on standard reports says the data sources and filters of those reports are preset and that you cannot modify them [4]. Agencies on this system can still build custom reports and store them in an Agency Library [3], but a seller who is short on time will often run the standard ones. The columns are therefore predictable from agency to agency, which makes a stored mapping unusually reusable.
What the agency can export
The help page for running a report lists the steps: open Reports, choose a location, open the category in the Standard Library or the Agency Library, select the report, pick an export format, mark the locations that hold the data, set required fields and criteria, and generate [3]. The two formats are PDF and Spreadsheet, the latter creating a CSV file for Excel or another spreadsheet application [3]. The same page notes that reports display best in Google Chrome [3].
Take the format seriously. The PDF option is a view, not a data file. Ask for Spreadsheet every time, and ask the agency to mark every location that holds the data, because a multi-location agency that marks one location sends one office.
The standard report list, as the help page gives it, falls in three categories: Financial, Carrier and Customer [4]. Customer reports include New Business Report, Renewal Report, Cancellation Report, Coverage Report, X-Dates Report and a Commercial and/or Personal Customers Report [4]. Financial reports include Retention Report Monthly and Yearly, Revenue Report, Sales Report and Non Renewed Policies [4]. The Carrier category currently holds no reports, with a Carrier Report listed under Financial [4].
No single standard report is the whole book. A policy list comes from the Customer reports, revenue from the Financial ones, and the join is yours to make.
What breaks when you map it to your standard
- Several files for one book. The Customer, Financial and commission reports have different columns [4]. The engine joins them on policy number and customer, and lists policies that appear in one file and not in another.
- Locations marked at run time. The report is run for the locations the user marks [3]. A file for one office looks complete and is not.
- Personal and commercial in one customer list. The Commercial and/or Personal Customers Report [4] puts both kinds of customer in one layout. The engine uses the fields present to tell them apart and flags the customers it cannot place.
- MGA and finance company payables. Financial reports include MGA Payable, Finance Company Payable and MGA Report [4]. Those describe money flowing through intermediaries, and your standard may have no field for an MGA between agency and carrier.
- Monthly snapshots. Retention and revenue are reported by period [4]. A retention figure from the seller’s report and one from your dashboard will disagree unless both use the same period boundaries, and the engine records which the figures were taken on.
Commission statements next to the export
The Financial category in the help page lists the commission reports: Outstanding Commission for the agency and for the producer, Production Report for agency and producer, Producer Payment, Cancellation Lost Business and a Carrier Report that includes an Agency Commission Grand Total [4]. They answer different questions. Outstanding Commission for the agency is money not yet received; for the producer, money owed to staff.
For splits, the help page says that when more than one producer is on a policy, the commission can be split by amounts the agency specifies, set on the policy’s Producers tab with the producer type "Group - Split Commission," and that the shares can total up to 100 percent [5]. So a split is a property of each policy, not of a rule. If you buy the agency, producer shares could differ policy to policy, and a mapping that assumes one split per producer loses information.
What our engine builds for a QQCatalyst agency
The engine stores a mapping for each standard report it receives. Because the reports are fixed [4], those mappings carry from one QQCatalyst agency to the next with little change. It joins the files, flags the row counts that do not match across them, checks every producer against your roster and records each policy’s split as given.
Carrier statements are matched to the joined book. Policies the statement pays that the book lacks, and statement lines at a different rate from the book’s, are listed by carrier. The agency appears on the dashboard by producer. Your team receives an import file in your layout and an error report and loads it. See agency data conversion for the file side.
Questions
Which QQCatalyst export should I ask for?
Ask for Spreadsheet, not PDF [3], from the Customer reports for the policy list and from the Financial reports for commissions [4].
Can the seller change the layout of a standard report?
The help page says no [4]. A custom report is possible [3], and the engine treats it as its own layout.
Is QQCatalyst the same as AMS360?
No. Vertafore lists them as separate products, with QQCatalyst described as for complex small agencies [1]. See the AMS360 page.
What happens with a split commission?
The policy’s producer type and shares are mapped as given [5], and shares that do not add to the policy’s commission are flagged.
The systems overview compares this with the others. To test a real file, book the diagnostic.
